Who operates the service
Exadot LLC provides Haulspan for car-haul operations. This policy describes information processed through the web platform and its connected services. Your organization manages its workspace, users, and access permissions.
Information we process
- Account information, such as your name, email address, Google account identifier, profile information made available during sign-in, organization membership, and assigned role.
- Operational information entered or uploaded by users, including customer and business contacts, loads, vehicle identifiers, pickup and delivery details, inspection records, photos, signatures, documents, invoices, and settlement records.
- Information from integrations your organization enables, including connected Gmail accounts, message headers and content, attachments, labels, and related operational records.
- Technical and activity information needed to operate the service, such as session information, request and error records, security events, and audit history.
How we use information
We use information to authenticate users, apply workspace permissions, provide transportation and document workflows, maintain financial and operational records, support users, investigate errors or misuse, and maintain the service.
Automated classification and AI-assisted processing can analyze emails and documents to identify business information and prepare suggested records. Users should review extracted information before relying on it for consequential operational or financial decisions.
Google sign-in and Gmail
Google sign-in supplies account identity information. Connecting Gmail is a separate, optional authorization for the mailbox selected by the user.
For Gmail features, the service requests identity and email access and the Gmail gmail.modify permission. This permits reading messages and attachments, composing and sending messages, and changing labels and message state. Haulspan uses these capabilities for the email and document workflows enabled by authorized users, including approved automated correspondence.
We follow the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used to provide or improve the user-facing features described here. It is not sold or used for advertising, creditworthiness decisions, or training generalized AI models. Human access is limited to user-authorized assistance, security investigations, legal requirements, or other uses permitted by that policy.
Who can receive information
Information is available to members of your organization according to their permissions and, where relevant, mailbox access settings. Information can also be shared with recipients you or your organization authorize, including through enabled email workflows and integrations.
We use service providers for application hosting, database and file storage, email delivery, monitoring, and AI-assisted processing. These providers process the information needed for the features they support. Email text and attachments used in AI-assisted features may be sent to the configured processing providers. We may also disclose information when required by law or when necessary to address fraud, abuse, or security incidents.
Security
The service uses access controls, encrypted network connections, and encrypted storage of Gmail authorization tokens. Organization and mailbox permissions govern application access. No service can guarantee that every security incident will be prevented.
Retention, disconnection, and deletion
We retain information as needed to provide the service and support organizational records, security, legal obligations, and dispute handling. Retention can differ by record type and the organization's requirements.
Authorized users can disconnect a Gmail mailbox in Haulspan. The application removes its locally stored Gmail credentials and stops using that connection. You can also revoke Haulspan's access through your Google Account settings. Disconnecting Gmail does not automatically delete business records or attachments already imported into the organization's workspace.
For access, correction, export, or deletion requests, contact your organization administrator or the support address below. We will verify the request and explain what can be provided or removed, including any records that must be retained. A deletion request and its handling should account for information belonging to the organization and other users.
Service location and changes
The service and its providers may process information in countries other than your own. We may update this policy when the service or its data practices change. If Google data will be used for a new purpose, we will provide the required notice and obtain any required consent before that use.
